  • The IRS mandates 3 solicitations to employees by the employer to receive accurate name and TIN (Social Security Tax Identification Number) for the 2016 tax year and forward. Should you have mismatches this year, or in future years, and cannot get corrections from the employee that will match, in order to use “reasonable cause” you must show that you have made 3 solicitations to get accurate, matching information. The solicitations would typically be 1) at hire or enrollment; 2) a short period of time thereafter; or 3) prior to filing 1094, 1095 B/C (3).

    It is recommended that these solicitations be documented and kept in the employee’s personnel file.
